Office 365 offers free 2FA - should you use it?




What is Two Factor Authentication (2FA) again ??

2FA is an extra layer of security used to make sure that people trying to gain access to an online account are who they say they are.


Why is this important?

Your Office 365 (now called Microsoft 365) email service is accessed by going to a web page and logging in (username and password).


Hackers love these single points of access because all they need is your email address to try and guess your password at the public Microsoft 365 login screen- see https://www.office.com


Often your email address is used to change passwords for other services so protecting your email account is critical to ensure the best possible online security.


How can I make it harder for the hackers to get in?

Use 2FA - choosing a strong password is of course very important but if you add to that a second form of authentication it is extremely difficult for any hacker to get into your account.


How does 2FA work?

First, you enter your username and a password. Then, instead of immediately gaining access, you will be required to provide a confirmation (this second factor is often a code or confirmation used on a smart phone).
